Authorized Signers Information

The information on this page provides information and instructions to those companies doing business with the Minneapolis-St. Paul International Airport (MSP) that have or wish to identify an employee of their company as an Authorized Signer for MSP security badge applications.

What's expected of an Authorized Signer?

An Authorized Signer:

  • Thoroughly reviews an applicant's information and the required, original identification documents
  • Authorizes an applicant to receive an airport security badge for the performance of their job duties

Understands…

  • MSP security badge application and renewal forms are only valid for 30 days from the date the signer completes and signs the forms. An applicant will not be issued a badge if the forms are not dated or if it is more than 30 days past the date on the form.
  • Faxed or photocopied security badge application forms bearing the Authorized Signer's signature will not be accepted.
  • Authorized Signers are not authorized to sign MSP security badge application forms to obtain a badge for themselves. If an Authorized Signer needs to apply for an airport security badge, another Authorized Signer from the company must be designated.
  • The authorized signer section on MSP security badge forms are not to be signed until after the employee has fully completed his or her section(s).

Agrees…

  • to use only blue ink for purposes of differentiating between original documents and photocopies.

Immediately Notifies…

  • the MSP Badging Office when an employee is no longer working for the company and makes every effort to obtain and return the badge

Before sending applicant/employee to the Badging Office

Do not send an applicant/employee to the badging office until:

  1. Applicant's paperwork is fully completed and original IDs are presented to you for review (copies/blank paperwork will not be accepted). Be sure:
    • All information supplied is current and correct
    • If driver's license address is different than current address on paperwork, applicant must apply to the Department of Vehicle Services to have it updated (exception: Student) - The YELLOW receipt provided by the DVS, along with the expired clipped driver's license, can be accepted
    • INS documents – noncitizen must list their A #
    • Names match identically on both original identification documents presented to you by applicant - (Spelling example: Michael and Micheal will not be accepted)
  1. Mandatory Criminal History Questionnaire (inside Fingerprint and Badge Application) must be completed, signed and dated by applicant
    • If YES is checked by any violation, do not send applicant to be fingerprinted – call 612-726-5427 for further instructions

Only after the fully-completed application/renewal and original identification documents have been reviewed:

  1. Authorized Signer completes their section and signs and dates in blue ink
    • Be sure the Job Position/Title in this section of the Fingerprint and Badge Application is the applicant's title (not the Authorized Signer's title)

Don't Lose Your Signer Privileges

Authorized Signers ABSOLUTELY MUST review the applicant's paperwork and original identification documents to verify that:

  • NAMES MATCH and are SPELLED CORRECTLY on both identification documents (see #1 above)
  • IDENTIFICATION DOCUMENTS have NOT expired
  • GREEN CARD (if applicable) has most current photo and employee is not under age 14
  • ADDRESS on the form matches the address on driver's license (see #1 above)
  • Paperwork is FULLY-COMPLETED (paperwork with blank sections will not be accepted)
  • SIGN and DATE using blue ink

FAILURE of any of the above results in :

1. security badge holder/applicant will be not be issued a badge

2. signer privileges will be revoked

3. signer will be required to attend the next scheduled Signer Session

4. upon third violation, the signer's Authorized Signer privileges will be permanently revoked

Clearance Notices

When fingerprint and Security Threat Assessment (STA) clearances are received, the Authorized Signer PRIMARY CONTACT will receive clearance notice(s) for each applicant via FAX. To change the Primary Contact and/or fax number, call 612-467-0519 or email security@mspmac.org

Monthly Badge Audits 

Monthly badge audits occur at the end of each month and are sent to the PRIMARY CONTACT via email (if available) or regular mail

IMPORTANT: Companies must respond each month to stay current. Failure to respond may result in badges being deactivated.

The audit list includes:

  • names of all of the company's active badge holders, including badge number, badge type and job title
  • expiration dates for each badge
  • names of part-time employees with badges
  • names of employees working for a secondary company
  • expired badges that are within the 30-day renewal period (if a badge is 30 days past its expiration date, the badge holder will be required to apply for a badge as a new applicant)
  • (if applicable) escort privilege/customs seal/FAA or MAC department for each badged employee

Termination of a Badged Employee

When an employee who has been issued an MSP security badge is no longer employed with a company, the company must:

    1. IMMEDIATELY CONTACT Airport Police (within 24 hours) to have the security badge turned off

    • Badging Office: 612-467-0623
    • After Hours – Emergency Communications Center: 612-726-5577
  1. OBTAIN AND RETURN the badge:

A. Make a copy of the badge for your files

B. Give a receipt to the badge holder that they returned the badge to you

C. Drop off (and request a receipt) or Mail; 

 drop off badges at either of the following locations:

    • Badging Office (Level 5 Hub Building-Red/Blue parking ramps, Lindbergh Terminal)
    • Police Administration (Mezzanine Level, inside security, above Lindbergh Terminal Checkpoint 3)

or mail to:

    • MSP Airport Police Badging Office, 4300 Glumack Drive, Room LT-3255, St. Paul, MN 55111

Changes to Authorized Signer Information

Need to make changes to a signer's contact information? - Submit a new Authorized Signer letter
